Purchasing Information

Before you do any shopping, get Phil's permission to make the purchase.


There are three methods of purchasing stuff while you are here, in and around Wolfville:
1)  Purchase Order
2)  Local Field Order
3)  Reimbursement


1) Purchase Order (the preferred method)

To request a purchase order simply fill in this PORform and email it to Adele.  
(I prefer you send this document electronically so please don't print it and fill it in by hand.)



2) Local Field Order (also acceptable method)

Most businesses in the area accept Local Field Orders.  If you're unsure phone them before you shop. 

Adele usually keeps a few forms, Nancy (Biology) will also have some. 

These forms are numbered and the Business Office keeps track of which form is where.  If you lose or destroy one tell Adele right away.  Once you take a form you are responsible.  The business office will hunt you down for it.

Fill in the forms completely.  There are a lot of Canadian Tires and Irving Big Stops.... you need to include the address on the form. 

An account number is required on the form.  Before you shop check with Adele about what account number to use.

GET A RECEIPT.  THERE MUST BE A RECEIPT ATTACHED TO THE FORM.

Give the white copy to the vendor.  Give the other two copies and the receipt to Adele.  If you fail the vendor will not be paid and there will be no end of trouble which YOU will have to sort.

Each form is worth $300.00.  If you want to purchase something for $400.00 use two forms ($300 on one and $100 on the other).



3) Buy it yourself and get reimbursed (not the preferred method)

The Business Office hates this method of reimbursement and it is only to be used as a last resort.  Sometimes, however, there is no option.  For example, the only way to order online is to use your credit card. 

If you want to be reimbursed you must fill in the Reimbursement Form (one form for each receipt, yes, one form for each receipt).   Reimbursement forms are the top drawer of the filing cabinet in the front hall of  Casa del Phil. 

Fill in the form, attach receipt, give to Adele.  Please note, a credit card slip is not a receipt.  The business office needs a receipt that lists the taxes.
